SUMMARY:    Provide primary administrative support to the Construction and Facilities Department

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

CONSTRUCTION AND FACILITIES SPECIFIC RESPONSIBILITIES:

  • Prepares and updates monthly calendars
  • Prepares and updates facilities status reports
  • Prepares purchase orders as required
  • Tracks all construction and facilities related purchases
  • Prepares capital asset expenditure summaries for restaurants
  • Assists with updating budgets and ongoing job cost reports for all projects
  • Assists with invoice processing and manual check requests
  • Maintains Construction and Facilities Manuals for all restaurants
  • Tracks all required project permits
  • Maintains preferred vendor files and contact database
  • Maintains updated furniture, fixture and equipment resource manuals and specifications
  • Maintains Office Construction and Close Out Manuals for all restaurant locations
  • Tracks tenant allowance for all construction projects
  • Other special projects (Including Lease File Maintenance)
  • Screens and appropriately routes all incoming correspondence
  • Composes critical correspondence
  • Maintains project file systems for the Construction and Facilities Department
  • Manages relationships with management team and vendors

GENERAL DUTIES AND RESPONSIBILITIES:

  • Acts as the point person for all corporate office construction and facilities related matters
  • Provides all administrative support for Vice President of Construction / Facilities
  • Prepares and manages multiple excel spreadsheets
  • Prepares Power Point presentations

REQUIREMENTS:

  • Proficient in use of Microsoft Word, Excel, PowerPoint, MS Project, Internet and E-mail
  • Proficient in business writing, grammar, proof reading
  • Ability to work autonomously and prioritize daily tasks
  • Ability to understand and comprehend construction documents and drawings
  • Excellent attention to detail, follow through, organization and communication skills
  • Previous experience in the Construction and Facilities industry is preferred
  • Ability to lift or move up to 25 lbs
