Ballentrae Condominium LLP, is in need of a qualified Administrative Assistant to fit into the company Real Estate offices .
MAJOR RESPONSIBILITIES/ESSENTIAL JOB FUNCTIONS
• Ability to work highly independently, organize work with extreme attention to detail and accuracy; demonstrated skill in assessing timelines and coordinating numerous assignments and projects simultaneously under heavy and fluctuating workloads and conflicting deadlines.
• To Maintain appointment calendars including making all necessary phone calls to assure appointment arrangements are accurately made and updated accordingly to continuously-changing schedules. Keeps assigned physicians informed of his/her agendas on a daily and weekly basis.
• Makes day to day administrative and operational decisions on his/her behalf when needed and appropriate.
* Answer, screen, and transfer all incoming phone calls
* Conference room scheduling, clean-up, and set-up
* Data Entry including entering new client files
• Coordinate complex travel/lodging/ both domestic and international, including the timely preparation and submission of related expense reports and briefings.
• Maintain and distribute CVs, other support sheets. Maintain filing system.
* To Facilitates communication between executive and his/her direct reports. Assesses and prioritizes the urgency of situations and determines action
