Job purpose

The Administrative Assistant is a key contributor across the entire operation at Hodo Soy. The role is divided into three main functions: Receptionist, Employee Liaison, and Production Administrative Assistant. Finding balance between these roles and prioritizing tasks on any particular day or week is an important skill to develop.

 Duties and responsibilities


  1. Receive visitors to the plant and answer phone calls the general line.
  2. Order office supplies to support all work areas,
  3. Order and maintain supplies in employee break room
  4. Support sales team preparing for large visitor groups
  5. Support 8x8 phone system, email system, internet connectivity via vendor
  6. Assist with mailing and shipping requests
  7. Organize staff & management meetings
  8. Distribute and track building access keys
  9. Manage various license renewals and certifications

Employee Liaison – Human Resources

  1. Safety Coordinator
    • Maintain files and documents for all workers compensation claims and accident reporting for CalOSHA
    • Point person for Workers Compensation claims for both employee and Insurance/healthcare providers
  2. Onboard new employees
  3. Backup Bookkeeper to field questions from all employees related to benefits, employment terms, etc. when Bookkeeper is not available
  4. Safety Culture – use posters and other means to promote safety culture in all areas
  5. Employee Appreciation – coordinate monthly birthday celebrations along with other morale boosting events

Administrative Assistant to Production

  1. Main administrator of Alchemy Training Systems and ServSafe programs
    • Maintain training equipment and employee database
    • Work with supervisors to schedule training groups as needed to keep our workforce training fresh

  • Excellent communication skills – verbal, written, training, coaching, and presentation.
  • Fluency with Microsoft Excel, Word,
  • Excellent driving skills, and a clean driving record.
  • Strength to lift 50 lbs.
  • Flexibility to work occasional weekends
